Position Overview
The Procurement Officer will be responsible for managing all procurement processes in line with organizational and donor policies. The role includes identifying suppliers, collecting quotations, preparing comparative statements, ensuring timely delivery of quality goods, and maintaining transparent documentation for audit and reporting.
Key Responsibilities
- Manage and coordinate all procurement activities for the project in accordance with organizational and donor guidelines.
- Prepare and issue requests for quotations (RFQs), evaluate bids, and prepare comparative analyses for approval.
- Ensure the timely procurement and delivery of winterization kits, hygiene supplies, and other project materials.
- Maintain proper documentation and filing of all procurement records, including purchase requests, quotations, purchase orders, and delivery notes.
- Liaise with suppliers and vendors to ensure quality and timely delivery of goods.
- Verify the specifications and quality of goods and services before acceptance and payment processing.
- Work closely with the Technical Officer and Project Manager to align procurement with activity timelines.
- Support logistics and inventory management for the receipt, storage, and dispatch of procured items.
- Ensure compliance with procurement and financial control policies, maintaining transparency and accountability.
- Prepare procurement status reports and share regular updates with the Project Manager and Finance Unit.
- Contribute to project close-out activities, including documentation handover and reconciliation of procured items.
Required Qualifications and Experience
- Bachelor’s degree in Business Administration, Commerce, Supply Chain Management, or a related field.
- Minimum 2 years of experience in procurement, logistics, or supply chain management, preferably in NGO or humanitarian settings.
- Good knowledge of procurement procedures, market analysis, and vendor management.
- Strong organizational and record-keeping skills.
- Excellent communication and negotiation abilities.
- Fluency in Pashto and Urdu; English proficiency is desirable.
- Preference will be given to candidates from District Buner.
Duration and Duty Station
This is a short-term position for one month, based in District Buner, with coordination as required with the main office and field sites.
